Building an AI Product to Streamline Client Processes for a Government Law Firm

Problem:
Navigating complex government forms can be an overwhelming challenge for many individuals, especially when the stakes involve their future and the well-being of their loved ones. These forms are often riddled with nuances that are difficult to master, leading to mistakes, delays, or even triggering unnecessary appeals.
A legal firm wanted to help their clients navigate this complex process. Based on their experience they knew there was an opportunity to make it easier for those who had earned benefits from the government. Many of their clients expressed that the fear of the process itself—worrying about making errors or not understanding the requirements—kept them from pursuing the benefits that were available to them.
Solution:
To simplify a complex, time-consuming application process that caused anxiety and required hours to complete, they worked closely with Synaptiq to reimagine the entire experience. Through extensive interviews, prototyping, and user testing, together we identified and implemented ways to reduce the information needed from applicants and streamline the process. What once took hours could now be completed in minutes, even from a phone.
Together we successfully designed and deployed a full application that included infrastructure, real-time monitoring systems, while meeting WCAG standards for accessibility. Accessibility was a priority from the beginning, ensuring that our solution could serve everyone, regardless of ability.
Privacy and user trust were at the heart of this project. Synaptiq helped create clear, user-friendly terms of service and privacy policies to reassure applicants and protect their sensitive information. For those with heightened privacy concerns, an option to print completed forms directly was created, eliminating the need for data storage or transmission.
The firm was able to submit these to the government who provided oversight of the process, ensuring they were both compliant but also had a privacy-focused approach to doing data analysis to better understand and support the clients.
In addition to the technical aspects, Synaptiq provided valuable advice on marketing strategies, and long-term support strategies, supporting the project with both technical as well as business expertise at every phase.
Outcome:
With Synaptiq’s support, the legal firm used large language models (LLMs) to improve test coverage, analyze large datasets, and improve overall development efficiency. This allowed them to simplify complex workflows, lower operational costs, and achieve high-quality results.
As a result, they’ve made it easier for countless individuals across the United States to access the benefits they earned—benefits that were previously out of reach due to daunting and complicated forms. In some cases, the resulting solution even determines eligibility automatically, speeding up the process so people can receive the support they need faster than ever.
