Design Data Architecture to Minimize Administrative Overhead at a Global Law Firm

Learn how Synaptiq helped a multinational law firm develop and execute a cutting-edge document management system to reduce firmwide manual labor.

                Problem:

This large legal firm was moving their entire collection of case documents from a hierarchical file system to a document management system. However they discover that their naming conventions were inconsistent on countless documents and their folder structure was duplicative.

This created a massive, seemingly manual problem to fix that would require hundreds of hours of firm administrative time to rectify.

How can AI in legal services spark ideas for your business?

Creating and maintaining robust data architecture can be the difference between a firm that is able to digitally transform and keep up with the rapid pace of technology, and the businesses that are disrupted or left behind.

In this project, Synaptiq helped a large firm modernize and clarify their data architecture, which is a common problem for companies across industries, especially well-established ones with high volumes of data and documents.

                Solution:

We built a high performance system that scanned hundreds of gigabytes of files spread out over multiple data centers and matched them to metadata about cases, surfacing a list of cases that a folder might match to along with scores.

Humans were then able to quickly verify the match by inspecting the case metadata and a few documents.

                Outcome:

This legal firm was able to meet their deadlines for moving to the document management system and saved an enormous amount of manual labor that would otherwise have been required to manually do document discovery and mapping.
